Private Household PA
Our client are seeking a professional and experienced Private PA toprovide administrative, secretarial and practical support toowner and his family. Thefamily live abroad most of the year, and variousfamily members stay in the West London family house when visiting the UK. The family do not spend more than about 3 months in total inthe UK over a period of a year. This usually means several short visits,rarely longer thantwo/threeweeks at a time, usually much less. The UK household consists of a full time House Manager/Housekeeper a full time driver a part timecleaner anda part time gardener. Extra staff come into London with the family as needed. The PA is expected tooversee the smooth running of theproperties, which are the day to day responsibility ofthe House Manager. They should supervise and supportthe HouseManager as necessary in ensuring thatthe houses and utilities aremaintained and in good order. Other responsibilities will include: 1. Supervisingthe driver andensuring that he keeps the carinsurance, MOTs and servicing of car fleet up to date. 2. Informing household staff and drivers of forthcoming visits by members of the family to ensure necessary preparations are made. Making sure that extra staff are engaged (eg bringing in additional part time drivers) and /or are on standby as required. Administering cash float to all drivers and household staff during visits of the family as required. Arranging payment of additional staff when necessary. 3. Ensuring payment of all household bills and managing household accounts. Entering all payments in Quick Books at the end of the month and reconciling them again the bank statement. Checking housekeeper and driver expenditure against credit cards. Attend a monthly meeting with the Family's Accountant to make sure all is in order. 4. Liaising with staff to arrange days off and holiday periods 5. Administration of the property and health insurance policies: ensuring they are up to date, submitting claims as required etc. 6. Making appointments (personal and work related) as requested when family are in London. Making all other arrangements relating to arrivals and departures as necessary. 7. Making restaurant/hotel and theatre bookings during visits by the family and arranging invitations to dinners and social events as requested. 8. Typing of correspondence and other general secretarial duties asrequired. Diary management and receiving guests as necessary.Attending meetings held by the Principal and writing minutes if required.There is another senior part time London based staff member whousually supports the Principal with work related matters when he is in London. 9. Handling all post, email and telephone enquiries, and dealing with allmatters relating to the London office and home. Ensuring all officeequipment in working order and that sufficient stationery supplies areavailable.Filing. 10. Shopping and ordering items from UK shops and sources as and when requested and arranging for these to be exported overseas when necessary. Dealing with VAT forms. (The House Manager also does much of the domestic shopping for overseas) 1 1. Arranging for mail and other items to be sent out to the family abroad regularly. Notifying family and/or counterparts in the main overseas office of their arrival. 12. Keeping family informed of all relevant issues relating to the property and staff, and liaising with their office overseas at all times. 13. Responsible for booking travel/hotels/accommodation (flights, trains, cars, visa requirements etc ) as necessary for Office Employees accompanying the Principal to the UK. Liaising with Logistics Officer in the overseas Office if there are any issues pertaining to travel, changes in regulations etc. A certain degree of flexibility is required, as well as the ability to work un supervised.. A normal working day would be 9 - 5, five days a week, but this could be a shorter day during a quiet period when the family is not in the UK, but needs to be able extend to six or seven o'clock if and when necessary. Although weekends are generally off, there must be a willingness to be contacted if and when an emergency arises.
